AI Policy

Editorial Board’s AI Use Policy

Generating AI and its supported technologies are becoming increasingly popular and more frequently used, also by authors preparing manuscripts of their articles. Because of this, the Journal’s Editorial Board is implementing this AI Use Policy intended to enhance the quality of publications and ensure transparency for authors, reviewers, and readers. These rules will be changed and revised in parallel with the evolution of AI.

Authors

• Authors are expected to disclose the fact of their use of AI (Copilot, ChatGPT, etc.) within the preparation of their manuscripts and to describe the tasks it has been used for.

• Authors are responsible for checking that all AI-created results are accurate, complete, and unprejudiced, as well as for verification of the references. AI-created references could be incorrect or fictional.

• Authors must not mention or cite AI as their manuscript’s author or co-author because the authorship stipulates responsibilities imposable on humans only.

• Authors are responsible for the content of their manuscripts, data consistency, uniqueness (originality), and ethical conduct.

• To declare the use of AI tools, you are expected to add a respective statement at the end of your manuscript at its submission to the Journal. This statement will be included in the publication, before the list of references. Authors are recommended to fill the GAIDeT declaration (Generative Delegation Taxonomy) available at https://panbibliotekar.github.io/gaidet-declaration/index-uk.html. Please submit your generated declaration together with the manuscript.

Reviewers

• You may use AI tools for reviewing only upon the Editorial Board’s written consent.

• The reviewer shall indicate the grounds to use the AI and specify the instrument.

• You must not upload manuscripts or parts thereof to your AI tools, as it compromises the confidentiality of reviewing.

Editorial Board

• The Editorial Board ensures the manuscript’s confidentiality, namely undertakes not to upload manuscripts of AI services without the author’s consent.

• The Editorial Board makes the decision to accept/reject a manuscript.

• The Editorial Board may use AI for an additional analysis of a manuscript, namely, to unveil plagiarism and for proofreading.

The use of AI should comply with academic honesty, confidentiality, and copyrights. Breaches related to the improper use of the AI shall be construed as breaches of publishing ethics and could lead to the rejection of the manuscript or to the recall of an already published article. According to the Law of Ukraine № 4742-ІХ, consequences of such breaches may vary from publication withdrawal to academic title or academic rank deprivation.

This Policy is subject to review upon changes in COPE provisions, ICMJE recommendations, the EU AI Act regulations, or the respective documents by the Ministry of Education and Science of Ukraine.
